What a cash receipt is
A cash receipt is the document you give someone to acknowledge money you received from them in person. People also call it a money receipt or a cash payment receipt. It records the payer, the amount, the purpose, the date, and how the money was paid, and it is signed by whoever took the money. For the payer it is proof of payment. For you it is the bookkeeping voucher that backs up your cash records.
A cash receipt is a formal accounting document, not a till slip. That is the difference between this tool and a point-of-sale receipt maker. A cash receipt names the payer, spells the amount in words, states the purpose, and has a signature line. This generator builds that document, so your printable cash receipt looks like a real voucher and not a thermal receipt roll.
How to make a cash receipt
- Enter your business name, address, and logo. This becomes the letterhead and saves on your device so you only type it once.
- Pick the receipt type: general, petty cash, cash sale, or deposit.
- Fill in who you received the money from, the amount, and what it was for.
- Choose how it was paid: cash, check, money order, card, or other. Add a reference number for non-cash methods.
- Watch the amount spell itself out in words. Add a signature and pick a template.
- Download the receipt as a PDF, PNG, or CSV, or print it.
The whole process runs in the browser. Nothing is uploaded, so your payment data never leaves your computer. That makes this a safe cash receipt maker for handling real customer payments.
What to include on a cash receipt
A complete cash receipt has a short, predictable set of fields. This is what a good cash receipt form covers:
- The business name and contact details at the top, as a letterhead.
- A receipt number, so each receipt is unique. This tool starts at CR-0001 and you can edit it.
- The date the money was received.
- Received from, the name of the person or business that paid.
- The amount as a figure, and the amount in words right below it.
- For, a short line describing what the payment was for.
- The payment method, such as cash or check, with a reference number if needed.
- Received by, with a signature line.
Optional blocks cover special cases: an itemized table for a cash sale receipt, a Total Due and Balance Due block for a deposit, and an Approved by line and account code for a petty cash receipt template.
Why the amount is spelled out in words
Writing the amount twice is the oldest trick in receipt design. The figure appears once as digits, like $1,234.56, and once as words, like One Thousand Two Hundred Thirty-Four and 56/100 Dollars. This makes the amount hard to alter. A single pen stroke can turn a 1 into a 4, but it cannot rewrite the words. That is why cheques, promissory notes, and cash receipts all spell the amount out.
This tool does the spelling for you, live, as you type. It uses US short-scale English and Title Case, and it writes the cents as an NN/100 fraction, exactly the way a bank cheque does. A few worked examples:
- $100 becomes One Hundred and 00/100.
- $42.50 becomes Forty-Two and 50/100.
- $1,234.56 becomes One Thousand Two Hundred Thirty-Four and 56/100.
- $1,000,000 becomes One Million and 00/100.
The currency word at the end follows the currency you pick, so a euro receipt reads Euros and a pound receipt reads Pounds.
Handling deposits, part payments, and balance due
Not every payment settles a bill in full. When a customer pays a deposit or an advance, switch on the partial payment block or pick the Deposit / Advance type. Enter the Total Due and the amount received. The receipt then shows the balance:
Balance Due = Total Due - Amount Received.
The balance never goes below zero. If someone pays more than they owe, the balance shows as zero rather than a negative number. If you leave Total Due blank, the tool treats the amount received as payment in full and the balance is zero. This keeps a deposit receipt honest and easy to read.
Itemized cash sale receipts
When the receipt is for goods sold, pick the Cash Sale type to add a line-item table. Each row takes a description, a quantity, and a unit price, and the tool does the arithmetic:
- Subtotal = the sum of quantity times price across every row.
- Total = Subtotal + Tax, where Tax is the subtotal times the tax rate you enter.
For example, three rows that add up to a $185.00 subtotal, taxed at 8 percent, add $14.80 of tax for a $199.80 total. The amount in words then spells out that total, so an itemized cash sale receipt reads as one clean document.
The two-up cash receipt book layout
Paper receipt books print two copies of each receipt on a page. You keep one copy and tear the other off for the payer. This tool copies that idea. Switch the copy layout to Original + Duplicate and it prints the original plus an identical duplicate copy at full page width with a cut line between them. A standard cash receipt fits both copies on a single page. A long itemized cash sale may run to a second page. This is the printable version of a cash receipt book: print, fill nothing else in, and hand over the duplicate. The Receipt Book and Duplicate Pair templates turn this layout on by default.
Cash receipt vs POS or sales receipt
A point-of-sale receipt is the narrow slip a cash register prints. It leans on a barcode, a store footer, and a card approval line, and it is designed for speed at a checkout. A cash receipt is different. It is a letterhead document that names the payer, spells the amount in words, states the purpose, and carries a signature. Use a money receipt template like this one when you take money by hand and need a proper acknowledgment or a voucher for your books, not a till slip.
If you do need a classic register-style slip instead, the sales receipt generator handles that. This tool stays focused on the formal cash receipt.
Tips for clean, professional receipts
- Keep a running receipt number so your receipts are easy to find later. CR-0001, CR-0002, and so on.
- Add your logo so the receipt looks like it came from your business.
- Fill in the For line clearly. Future you, and the payer, will thank you.
- Use the two-up copy layout if you hand receipts to customers in person.
- Save the PDF and a CSV copy of the data so your cash book stays current.
Frequently asked questions
What is a cash receipt?
A cash receipt, also called a money receipt or cash payment receipt, is the document a business or individual gives to acknowledge money received in person. It records who paid, how much, what the payment was for, the date, and how it was paid, and it is signed by whoever received the money. It is the payer's proof of payment and the seller's bookkeeping voucher. A cash receipt is a formal accounting document, not a thermal point-of-sale slip.
Why does a cash receipt spell the amount in words?
Spelling the amount in words is the defining feature of a classic money receipt. Writing the figure twice, once as digits and once as words such as One Thousand Two Hundred Thirty-Four and 56/100 Dollars, makes the amount tamper-resistant: a stray pen stroke cannot turn 100 into 1,000 when the words also say One Hundred. This generator spells the amount automatically as you type, using US short-scale English and an NN/100 cents fraction, the same convention used on cheques.
How does the partial payment and balance due work?
Turn on the partial payment block (or pick the Deposit / Advance type) to record a part payment. Enter the Total Due and the amount received, and the receipt shows Balance Due = Total Due minus amount received. The balance is clamped at zero, so a payment larger than the amount owed shows a zero balance rather than a negative number. If you leave Total Due blank, the amount received is treated as payment in full and the balance is zero.
Can I make an itemized cash sale receipt?
Yes. Pick the Cash Sale type (or switch on itemized line items) to add a table of goods sold. Each row takes a description, quantity, and unit price, and the receipt computes Subtotal = the sum of quantity times price for every row, then Total = Subtotal + Tax using the tax rate you enter. For example, a subtotal of 185.00 dollars with an 8 percent tax adds 14.80 dollars of tax for a 199.80 dollar total.
What is the two-up Original and Duplicate copy layout?
A paper cash receipt book prints two identical copies per page: you keep one and hand the other to the payer. Switch the copy layout to Original + Duplicate and the generator prints the original plus an identical duplicate copy at full page width with a cut line between them, matching that carbon-copy workflow. A standard cash receipt fits both copies on a single page; a long itemized cash sale may run to a second page. It is ideal for a printable cash receipt book you fill in and tear off. Single-copy layout is the default.
Is this a petty cash receipt template too?
Yes. Choose the Petty Cash Voucher type and the receipt adds an Approved by line and an account or GL code field, the two things a petty cash voucher needs beyond a plain receipt so the disbursement can be posted to the right ledger account. It still spells the amount in words and prints the same clean way as every other type.
Is the cash receipt generator really free with no watermark?
Yes. It is 100 percent free with no signup and no watermark on any export. Create and download as many receipts as you like as a print-ready PDF (true-size Letter or A4), a PNG, or a CSV of the receipt data. Your letterhead and working receipt save on your device only, and the whole tool runs in your browser, so no payment data ever leaves your computer.
How is a cash receipt different from a POS or sales receipt?
A point-of-sale receipt is the narrow thermal slip a register prints, focused on a barcode, a store footer, and a card approval line. A cash receipt is a formal, letterhead-style document that names the payer, spells the amount in words, states the purpose, and carries a Received By signature. Use a cash receipt when you take money by hand and need a proper acknowledgment or bookkeeping voucher rather than a till slip.
