The seven badge templates

Every badge you print uses one of seven templates. Each one is a different structure, not just a different color, so you can match the badge to the occasion.

1. Hello my name is. The classic. A bold color bar reads "HELLO my name is" across the top, with a large handwritten-style name area below. Great for icebreakers, open houses, and first-day orientations where the name is the only thing that matters.
2. Conference. A name hero with a title, company, and a small event line, plus a colored role tag. This is the workhorse for attendee and speaker badges.
3. Department color-band. A vertical color band down the side, keyed to the department or role. Perfect for staff, volunteers, and multi-team events where people need to spot a role across a room.
4. Minimal. A centered name with one subtitle line and a thin accent rule. Clean and quiet when the branding lives on the lanyard instead of the badge.
5. With logo. A logo lockup on top with the name below. Upload your logo once and it tiles onto every badge on the sheet.
6. With photo. A photo on the left with the name, title, and company on the right. The layout for staff, security, and visitor badges where a face matters.
7. Scan to connect. A QR code that decodes to a vCard, next to the name and title. Attendees scan to save a contact instead of trading paper cards.

Switch templates at any time and the whole sheet re-renders. Fields the current template does not print are hidden, so you never fill in a box that does nothing.

Color-code a roster by department

This is the feature that turns a plain roster into a sorted, scannable event. Add a department or role to a badge and the Department template paints a color band unique to that team, while the Conference template adds a matching colored role tag. Common values like Sales, Engineering, Marketing, Speaker, Staff, Volunteer, and VIP each get a distinct, legible color out of the box. Any other value is hashed to a stable color, so two different departments never collide on the same shade and the same department always gets the same color across every page.

For a large event, put the department in its own CSV column and the whole roster color-sorts itself. Volunteers read green, speakers read purple, VIPs read red, and your door team can direct people at a glance without reading a single word.

Long names never clip

Real rosters are full of long names, and a fixed font size either clips them or forces you to resize each badge by hand. Every template here auto-fits the name instead. A long name shrinks just enough to fit its badge on one line, down to a sensible floor, while short names stay big and bold. The sizing is deterministic and baked into the export, so the name you see in the preview is the exact size that prints in the PDF and PNG. You never have to babysit a spreadsheet of edge cases.

Print at true size so it lands on the stock

A badge sheet only works if it prints at the real physical size. This tool generates the page at exactly 8.5 by 11 inches for Letter or 210 by 297 mm for A4, with the badge grid positioned from the preset's margins. To print it correctly:

1. Download the print-ready PDF.
2. In your print dialog, set the scale to 100% and turn off "fit to page" or "shrink to fit."
3. Do a test print on plain paper first.
4. Hold the test page against a blank Avery badge sheet, up to a window if it helps, and confirm the cut guides line up with the die-cut edges.
5. Load the real sheet and print.

The cut guides are a light dashed outline around each badge. Leave them on to check alignment and to cut plain cardstock cleanly, or turn them off for a borderless look.

Reuse a partial sheet

Tips for great event badges

• Keep the name the biggest thing on the badge. Titles and companies support it, they do not compete with it.
• Use the department color-band for anyone who works the event, and the plain Conference or Hello template for attendees. The contrast helps staff stand out.
• For lanyards, remember the badge often flips. A large, centered name reads from a distance even at an angle.
• Print a few spare blank badges. Walk-ins and typos happen at every event.
