What is a line sheet?
A line sheet is a photo-led catalog that a brand sends to wholesale buyers, sales reps, and stockists so they can place an order. It is not a marketing lookbook and it is not a retail price list. It is a scannable, priced document that answers a buyer's questions in one page: what is the style, what does it cost me, what will it retail for, what colors and sizes can I order, and what is the minimum.
Retail buyers review dozens of line sheets a season, so a clear one gets ordered and a messy one gets skipped. According to wholesale guides from Fit Small Business and Wholesale In A Box, the fastest way to lose an order is to leave out a price, a size range, or a way to contact you. This maker gives every one of those details its own field so nothing gets missed.
What a wholesale line sheet must include
A complete line sheet, following standard wholesale practice documented by Fit Small Business, Wholesale In A Box, and the Plytix line-sheet software guide, includes:
- Brand header: your brand name, logo, and the season or collection, for example "Fall/Winter 2026 Wholesale Line Sheet."
- A product photo for every style. Buyers order from the image first. A clean photo on a plain background beats a styled lifestyle shot here.
- A style or SKU number. Buyers reference this on their purchase order, so it has to be on the sheet.
- The product name.
- The wholesale price and the MSRP. These are two different numbers and both belong on the sheet. More on this below.
- Colors or colorways the buyer can choose from.
- Sizes or the size range, such as XS - 2XL or a full shoe run.
- Minimum order quantity (MOQ) and the case or pack size, so the buyer knows how the product ships.
- A contact block: who to email, a phone number, and an ordering link.
- Terms: your order minimum, payment terms, shipping terms, lead time, a valid-until date, and how to order.
A short catalog fits on one or two pages. A larger range runs longer, and this tool paginates it automatically so a product card is never cut in half.
Wholesale price versus MSRP
The single most common mistake on a line sheet is showing only one price. A buyer needs two numbers.
- The wholesale price is what the retailer pays you per unit. If your tee is $14 wholesale, that is the retailer's cost.
- The MSRP is the manufacturer's suggested retail price, what you recommend the store sells it for. If the same tee has a $32 MSRP, the retailer can see the margin at a glance.
Showing both lets a buyer cost the order and check the retail markup in seconds. A common apparel guideline is a keystone markup, where the MSRP is about twice the wholesale price, though the right multiple depends on your category. This generator keeps wholesale and MSRP as two distinct fields and prints both on the grid and list templates, so you never force a buyer to email you for the retail price.
How to make a line sheet
Making a line sheet with this tool takes four short steps.
- Add your products. For each style, upload a photo and fill in the SKU, name, description, wholesale price, MSRP, colors, sizes, MOQ, and case-pack. Group products into sections such as Apparel, Footwear, or Accessories. You can also paste a list or import a CSV to load a whole catalog at once, then attach photos in bulk by naming the files after your SKUs.
- Choose a template. Pick from eight designs across three layout families. Grid templates show a photo card per product, list templates give you a dense tabular sheet with small thumbnails, and lookbook templates lead with large imagery and minimal text.
- Style and set up the pages. Set an accent color and font, choose how many products appear per row on grid and lookbook layouts, turn the branded cover page and the terms block on or off, and pick US Letter or A4 for the PDF.
- Download. Export a print-ready PDF with a repeating footer and page numbers, a hi-res PNG for the web, or a CSV of your product data. Photos are embedded in the PDF and PNG, so what you preview is what you send.
Grid, list, or lookbook: which layout to use
This tool ships three structural layouts because different catalogs need different presentations.
- Grid is the standard wholesale format and the right default for most brands. Each product gets a photo card with the SKU, name, both prices, colors, and sizes. Choose two, three, or four products per row: two for big editorial imagery, four for a dense catalog with many styles.
- List is best for a long run of styles where a buyer wants to scan and compare. It shows a small square thumbnail next to tabular columns for SKU, name, colors, sizes, wholesale, MSRP, and MOQ. The Wholesale list variant adds an accent column header and emphasizes the case-pack and minimum.
- Lookbook is a photo-forward, brand-led presentation with large hero images and minimal text, just the name and the wholesale price. Use it to set the mood, often paired with a separate priced sheet for ordering.
Line sheet versus lookbook versus price list
These three documents are related but do different jobs. A line sheet is the priced ordering document a buyer uses to place a wholesale order, with photos, both prices, and buying details. A lookbook is a visual, editorial presentation of a collection that sells the brand story and usually carries little or no pricing. A price list is a simple one-page list of products and prices, often for retail customers, without the wholesale-specific fields like MOQ and case-pack. If you want a plain retail price list instead, use our price list generator; for wholesale, the line sheet is the format buyers expect.
Tips for a line sheet that gets ordered
- Use consistent photos. Shoot every product the same way, on the same background, so the grid looks tidy and professional.
- Keep SKUs on the sheet. Buyers write them on the purchase order. A missing SKU slows the order down.
- Always show both prices. Wholesale and MSRP together answer the buyer's first two questions.
- State your minimums up front. Put the opening order minimum and reorder minimum in the terms block so there are no surprises.
- Add a valid-until date. Pricing changes. A clear expiry date protects your margins and creates urgency.
- Make it easy to order. Spell out exactly how to send a purchase order in the how-to-order note.
- Export a PDF for email. A PDF prints and forwards cleanly, keeps your layout, and does not depend on a spreadsheet program.
Frequently asked questions
What is a line sheet?
A line sheet is the photo-led wholesale catalog a brand sends to retail buyers so they can place an order. Each product shows a photo, a style or SKU number, the name, the wholesale price and the suggested retail price (MSRP), plus colors, sizes, minimum order quantity, and case-pack. It is a working ordering document, not a marketing lookbook, so it is clean, scannable, and priced.
What should a wholesale line sheet include?
At minimum: your brand name and logo, the season or collection, a clear product photo for every style, a style or SKU number, the product name, the wholesale price and the MSRP, available colors and sizes, the minimum order quantity, and the case or pack size. Add a contact block and a terms section covering your order minimum, payment terms, shipping terms, lead time, and how to order. This tool has a field for each of these.
What is the difference between wholesale price and MSRP on a line sheet?
The wholesale price is what the retailer pays you per unit. The MSRP, or manufacturer's suggested retail price, is what you recommend they sell it for in their store. Buyers need both: the wholesale price to cost their order and the MSRP to check the retail margin. This generator keeps them as two distinct fields and shows both on the grid and list templates.
How do I make a line sheet for free?
Add each product with its photo, SKU, name, wholesale price, MSRP, colors, sizes, and MOQ, and group products into sections such as Apparel or Accessories. Pick a grid, list, or lookbook template, choose an accent color and font, turn the cover and terms pages on or off, and download. The live preview updates as you type, so you see the finished catalog before you export it.
Is this line sheet generator free, with no watermark?
Yes. It is 100% free with no signup and no watermark on the export. Download as many line sheets as you like as a print-ready PDF, a PNG, or a CSV. Your product data and photos never leave your browser.
Which layout should I use: grid, list, or lookbook?
Use a grid layout for most catalogs; it shows a photo card per product with all the buying details and is the standard wholesale format. Use a list layout when you have a long run of styles and want a dense, tabular sheet with small thumbnails and columns. Use a lookbook layout for a photo-forward, brand-led presentation with large imagery and minimal text, often paired with a separate priced sheet.
Can I add a cover page and terms to my line sheet?
Yes. Toggle the cover page on for a branded first page with your logo, title, season, date range, and contact block. Toggle the terms block on to add your order minimum, payment terms, shipping terms, lead time, valid-until date, and how-to-order note at the end. Both appear in the preview and the exported PDF, and the PDF repeats a footer with your brand and a page number on every page.
Will the product photos show up in the exported PDF?
Yes. Each photo is embedded directly into the file, so it appears in both the PDF and the PNG, not just the on-screen preview. Upload a photo per product, or use the bulk photo upload to match files to products by file name. If a product has no photo, the tool renders a clean placeholder rather than a broken image.
Can I import my products or export the data?
Yes. Paste a list with one product per line, or import a CSV with Name plus optional SKU, Wholesale, MSRP, Colors, Sizes, MOQ, and Pack columns. Export a CSV of your product data at any time to keep a copy or move it between tools. Photos are not stored in the CSV because they would make the file very large.
