What is a warranty card
The term shows up under a few names. A warranty card is the everyday name for the insert. A warranty certificate is the same idea with a more formal, certificate-style layout and a title like "Certificate of Warranty". A product registration card is the version that leads with a call to register, so the brand can capture the buyer and the purchase date. A warranty template is just the reusable starting layout for any of these. This tool makes all of them from the same fields, so you can pick the tone that fits your product and brand.
A warranty card is a marketing and record-keeping document, not a legal contract. It is the friendly, in-the-box reminder of a promise your written warranty policy actually defines. Keeping that distinction clear matters, and the section on full versus limited warranties below explains why.
What to put on a warranty card
A complete warranty card usually carries these fields, and the tool has an input for each one:
- Brand and logo. The company name, and an optional uploaded logo. Your logo stays in the browser and never uploads to a server.
- Product name and model or SKU. What the card covers, specifically.
- Serial number. The single unit's identifier. Pre-fill it, or leave it blank to print a ruled line the retailer completes by hand.
- Warranty period. The length of cover, for example "2-Year Limited Warranty" or "5-Year Warranty".
- What is covered. A short summary of the coverage, such as defects in materials and workmanship under normal use.
- What is not covered. The common exclusions: accidental damage, misuse, normal wear, unauthorized repairs.
- Purchase date, dealer, and order number. Point-of-sale details that are often filled in by hand, so each prints as a ruled line when left blank.
- Support contact and website. Where the customer goes for help.
- Scan-to-register QR. A code that opens your registration page, with the unit's serial appended.
You do not have to use every field. Empty fields are skipped so the layout stays clean, except for the four fill-in fields, which can print as blank lines on purpose.
The batch serial and scan-to-register QR workflow
This is the reason the tool exists. A single warranty card is easy to make anywhere. A run of a hundred cards where each one has a unique serial, and each serial is baked into a scannable registration QR, is the part that breaks other tools. Spreadsheet-driven bulk features can place a different serial per card, but they cannot generate a different QR per row that carries that serial. This tool does both in one step.
Switch to Bulk serials mode and choose a source:
- Auto sequence. Set a start value like
SN-00001and a count. The tool reads the prefix (SN-), the starting number, and the zero-pad width from the digits, then generatesSN-00001,SN-00002, and so on. Every serial is unique and padded to the same width. A run is capped at 500 cards so the sheet stays manageable, with a clear message when you go over. - Import CSV. Upload a CSV with a Serial column, plus optional Product, Model, Purchase date, and Period columns. You get one card per row using that row's real serial. Importing replaces the batch; clear the file to return to the auto sequence.
Each card's QR then encodes your registration URL with that card's serial appended as a query parameter. With a base URL of https://acme.com/register, card number 42 gets a QR that opens https://acme.com/register?sn=SN-00042. The customer scans it, your registration page reads the sn value, and the serial is pre-filled. No typing a long serial off a sticker.
You control the parameter name. If your page expects serial instead of sn, change one field and every card updates. Change the base URL and every card updates. Turn the register block off and the QR is removed from every card. The codes are real, standards-based QR codes, so they decode to the exact URL in the preview and in every downloaded file.
The batch tiles onto US Letter or A4 with dashed cut guides, at your chosen card size, and downloads as a multi-page PDF or as PNGs.
Fill-in lines versus pre-filled fields
Real warranty and registration cards often ask a retailer or the customer to write in a few details at the point of sale. The tool supports this directly. The Serial, Purchase date, Dealer, and Order number fields are fill-in capable: leave one blank and it prints as a labelled ruled line with room to write; type a value and it prints as static text instead.
The Fill-in Card template makes every record field a ruled line, which suits a card the store completes by hand. The Appliance template lays the same fields out as a boxed grid, the format most appliance registration cards use. Every other template honors the same rule for those four fields, so you can mix pre-filled and hand-completed details on any design.
Warranty card, warranty certificate, or warranty template
These are not different documents so much as different framings of the same insert.
- Reach for a warranty certificate layout (Classic Certificate, Luxury Dark) when the card is a keepsake that signals quality, for furniture, jewelry, or premium electronics.
- Reach for a product record layout (Modern Minimal, Electronics, Appliance) when the job is to capture the model, serial, and purchase date cleanly.
- Reach for a registration-focused layout (Registration Focus) when the priority is getting the customer to scan and register.
They all draw from the same fields, so switching template never makes you retype anything.
Full versus limited warranty: how US law labels warranties
This section is background, not legal advice, and the card you make here does not create, register, or satisfy any warranty on its own. Your written warranty policy does that.
In the United States, warranties on consumer products are governed by the Magnuson-Moss Warranty Act (15 U.S.C. 2301-2312) and Federal Trade Commission rules (16 CFR Parts 700-702). According to the FTC's Businessperson's Guide to Federal Warranty Law, when a business gives a written warranty on a consumer product costing more than $10, that warranty must carry a title stating whether it is full or limited.
The FTC describes a full warranty as one where all of the following are true: you do not limit the duration of implied warranties; you provide warranty service to anyone who owns the product during the warranty period, not just the first buyer; you provide that service free of charge; and you provide, at the customer's choice, either a free replacement or a full refund if you cannot repair the product after a reasonable number of tries. A full warranty also states its duration, as in "Full 12-Month Warranty".
A limited warranty, in the FTC's words, is one where the coverage does not meet all of those conditions. For example, a limited warranty may cover parts but not labor, or may apply only to the original purchaser. Most consumer product warranties are limited, which is why "Limited Warranty" is the phrase you see most often.
Two related FTC rules apply at a slightly higher price point. The Disclosure Rule (16 CFR Part 701) and the Pre-Sale Availability Rule (16 CFR Part 702) cover written warranties on consumer products costing more than $15, and deal with stating the warranty terms and making them available to shoppers before they buy.
Use these designations on your card only if they match your actual written warranty. If you are not sure how your warranty should be labeled, confirm it with your own policy or counsel rather than guessing on the insert. The card is the reminder; the policy is the promise.
How to print and insert warranty cards
- Design the card. Fill in the fields, choose a template, theme, and font, and set a real-unit size. Common insert sizes are 4 x 6 in, 5 x 3.5 in, and the 3.5 x 2 in business-card mini.
- Add the register QR. Turn on the scan-to-register block and enter your registration page URL. Confirm the preview under the URL field shows the link you expect.
- Batch the serials, if needed. Switch to Bulk serials mode, auto-sequence or import your serials, and pick the sheet paper and card size.
- Download. For a single card, download the PDF, which is sized to the card's real dimensions. For a batch, download the sheet PDF or PNG.
- Print at 100% scale. In the print dialog, turn off "fit to page" so the card prints at its true size. Cut along the dashed guides on a bulk sheet.
- Insert. Drop the card in the box next to the product, or slip it into a small sleeve on the packaging.
Tips for a better warranty card
- Keep the coverage summary to one or two plain sentences. The full terms belong in your policy, not on a small card.
- Put the register QR where a thumb naturally lands, and keep the caption short, like "Scan to register".

- Test one printed card before running a batch. Confirm the QR scans and the cut guides line up.

Is a warranty card a legal warranty document?
No. A warranty card is a business insert that records the product and registration details and points the customer to your support and registration. It is not itself a legally-operative warranty, and this tool makes no compliance claim. Your actual warranty terms and any legal designation live in your written warranty policy.
