What a timesheet template is for
A timesheet is a simple record of the hours a person worked over a pay period. It lists each work day with a start time, an end time, an unpaid break, and the resulting hours. When the period ends, the hours add up into a total, and if an hourly rate is set, the total turns into pay. Employers use timesheets to run payroll, track overtime, bill clients, and keep records that back up what was paid.
Most "timesheet template" results are a static spreadsheet you download and wrestle with in Excel or Google Sheets. This generator is different. You fill it in right here, watch the hours and overtime calculate as you type, choose a clean design, and download a print-ready file. There is no signup, no watermark, and nothing leaves your browser.
How to make a timesheet in three steps
- Pick your entry mode and pay period. Use Time In / Out if you want to type clock times and let the tool do the math, or switch to Hours if you already know the decimal hours for each day. Choose Weekly, Bi-weekly, Semi-monthly, or Monthly, then set the start date. The rows and weekday labels fill in for you.
- Enter the hours. Type each day down the table. Press Tab or Enter to jump to the next cell so a full week goes in fast. If most days are the same, fill the first day and use "Copy day 1 to all" to repeat it. Add a note or project per day if you want.
- Style it and download. Add your company name and logo, set an accent color and font, pick one of the twelve templates, then download a PDF, PNG, or CSV. The preview matches the file exactly.
Entering time the easy way
The time fields are forgiving on purpose. You can type any of these and they all
mean the same thing: 9, 9a, 9:00 AM, 09:00. Afternoon works the same way
with 17:30 or 5:30pm. When you leave a field, the tool tidies it up to a
clean 12-hour clock so the sheet reads well.
Worked hours for a day equal the time out minus the time in, minus the unpaid break. So 9:00 AM to 5:30 PM with a 30-minute break is 8.00 hours. If a shift crosses midnight, enter it as normal. A time out that is earlier than the time in is treated as an overnight shift and wraps forward 24 hours, so 10:00 PM to 6:00 AM with no break is 8.00 hours, never a negative number.
How overtime is figured
The default overtime rule follows the US Fair Labor Standards Act. Hours over 40 in a workweek are overtime, paid at 1.5 times the regular rate. Both the weekly threshold and the multiplier are editable, so if your workplace uses a different number you can change it and the split updates live.
Here is the math on a common example. A worker does 8.00 hours Monday through Friday, which is 40.00 hours, then adds a 5.00 hour Saturday. The week total is 45.00 hours. The first 40.00 are regular and the last 5.00 are overtime. With a rate of $20.00 per hour, the regular pay is 40 times $20.00, or $800.00. The overtime pay is 5 hours times $20.00 times 1.5, or $150.00. The total pay is $950.00.
There is also an optional daily overtime rule. Turn it on and any hours over 8 in a single day count as overtime, which reflects state rules such as California. It is off by default. Daily overtime is pulled out first so it never double counts against the weekly 40-hour test.
For bi-weekly sheets, overtime is figured per workweek, not across the whole 14 days. Each block of seven days is its own week for the 40-hour threshold, which is how the FLSA treats a two-week pay period.
The quarter-hour rounding rule
Some employers round worked time to the nearest quarter hour. This is the "7-minute rule": minutes 1 through 7 past a quarter round down, and minutes 8 through 14 round up. Turn on rounding to the nearest 15 minutes and each day's span rounds that way. A raw span of 8 hours 37 minutes rounds to 8 hours 30 minutes, because 37 is closer to 30 than to 45. Rounding is off by default, so exact minutes are used unless you ask for it.
Adding pay, or keeping it hours only
Leave the hourly rate blank and you get a clean hours-only timesheet. No money appears anywhere, which is what a lot of hourly workers and salaried staff want. Enter a rate and the sheet reveals the pay lines: regular pay, overtime pay at your multiplier, and total pay. Switching the rate on or off never changes your hours, only whether the money is shown.
Weekly, bi-weekly, semi-monthly, and monthly
The pay period you choose decides how many dated rows the sheet seeds:
- Weekly seeds seven days from the start date. This is the most common format and the default.
- Bi-weekly seeds fourteen days across two workweeks.
- Semi-monthly covers the 1st to the 15th, or the 16th to the end of the month, depending on your start date.
- Monthly seeds one row for every calendar day of the month.
Switching periods keeps the hours you already entered, matched up by position, so you never lose work by changing your mind.

You do not have to type everything by hand. Paste rows straight from a spreadsheet and the tool splits them into days. There is no account, no login, and no cross-device sync, so a shared computer would overwrite the single saved sheet. Use "Start new" when you want a fresh, blank timesheet, which clears the saved copy so old hours never reappear.
Frequently asked questions
How are the hours on the timesheet calculated?
In the Time In / Out mode, each day's worked hours equal the time out minus the time in, minus the unpaid break. A shift that ends at or before it starts is treated as an overnight shift and wraps past midnight, so 10:00 PM to 6:00 AM with no break is 8.00 hours. The result is shown as decimal hours, where 8h 30m is 8.5. In the Hours mode you type the decimal hours for each day directly. The total is the sum of every day, so the printed rows always add up.
